TITLE: Executive Coordinator to the President/CEO

JOB SUMMARY: The executive coordinator position directly supports the president/CEO of ITVS. The environment is fast-paced, and the work activities vary day to day. The ideal candidate has a proven record of creating excellent systems for tracking and prioritizing multiple deadlines, is able to anticipate needs and respond with good judgment and enjoys being the right-hand person to the president. In addition to helping the president manage the organization, the executive coordinator serves as liaison to ITVS’s board of directors.

RESPONSIBILITIES:

Assisting the President
  • Managing a busy executive calendar, including directly contacting internal and external targets, coordinating a full schedule of meetings, conference calls, and business appointments as well as keeping the president well informed of upcoming dates and deadlines
  • Providing excellent and expeditious customer service on the president's behalf to senior management, administrative staff members, executive-level media partners and funders and key external stakeholders
  • Organizing domestic travel itineraries, including arranging point-to-point transportation, booking hotel accommodations and researching directions as needed
  • Providing complex administrative support and assisting with a wide range of special projects, including copy editing and proofreading all documents and correspondence, disseminating the annual staff survey and supporting outside consultants as required
  • Tracking grant reports and proposals, travel budgets, institutional events and deadlines and maintaining additional calendars as requested
  • Creating, organizing and maintaining electronic and hard copy files
  • Providing logistical support, coordinating catering and setup/clean up for the president's meetings
  • Formatting, layout and copy editing of documents
ITVS Board Liaison
  • Planning/coordinating ITVS board meetings (three per year), including travel, hotel and expense reimbursements
  • Gathering data and reports, tracking progress, assembling and copyediting materials for board books required for each meeting
  • Planning/coordinating board committee conference calls and taking notes as needed
  • Serving as the point person for all board inquiries and requests
MINIMUM QUALIFICATIONS:
  • College degree
  • Stable work history with five years of administrative support experience
  • Advanced knowledge of Microsoft Outlook, Word and Excel (Experience with PowerPoint, Creative Suite, File Maker Pro and InDesign highly desirable)
  • Self-starter with the ability to learn new concepts quickly
  • Professional, collegial and mature work ethic
  • Customer service experience highly desirable
