Administrative Coordinator (Part-time Contract)

Work behind the scenes making a significant impact supporting development of independent documentary films. Key aspects of this position include providing overall administrative support to our management team.


The Administrative Coordinator provides executive support to the leadership of the Programming and Production Department.  Responsibilities include maintaining busy executive calendars, drafting, writing, and editing materials, making travel arrangements, preparation of presentation materials, organizing partner meetings, and serving as liaison with other internal leadership and their staff. Additionally, this position holds administrative responsibilities related to development and fundraising. The position requires an individual who enjoys working closely with the senior leadership in a demanding, high performing environment.


  • Provide high quality executive level support to the ITVS Programming and Production leadership team
  • Prepare for and participate in various department meetings and conference calls and provide follow up support
  • Engage in research on special projects
  • Anticipate and provide departmental support as needed
  • Compile information and write draft for reports including ITVS Board Report
  • Adapt and maintain Workfront (project management system) workflows associated with Independent Lens production
  • Update Independent Lens archival documents within the ITVS data management systems
  • Create and update long-lead forecast and notes of Executive Producer's external potential touch points with prospective donors (e.g., festivals, conferences, etc.)
  • Collaborate with SalesForce Administrator to ensure timely and accurate records of Executive Producer's prospects
  • Conduct research as needed to support development strategy related to Executive Producer's prospects


  • Three years’ administrative support experience
  • Strong organizational skills, proactive, detail-oriented, and the ability to handle multiple priorities
  • Excellent judgment with the ability to anticipate executive needs
  • Ability to multi-task and thrive in a demanding, high-performing environment
  • Ability to liaison with executive partners with grace and diplomacy
  • Proven experience of Office applications, including Word, Excel, PowerPoint, Outlook, Google Apps, and other web tools
  • Strong writing and oral communications skills
  • Keen ability to anticipate executive needs by being forward thinking
  • Highly organized with acute attention to details
  • College degree or equivalent work experience
  • Interest in documentaries desirable
